Pickering Grange Farm – Data Policy (June 2023)

We collect and use personal information so we can provide products and services, operate our business and communicate with you.

The lawful basis for each of these uses is:
Provision of products and services – contract
Operate our business – legitimate interest
Communicate with you – consent

The information we collect and hold includes:

  • personal information, such as name, address, contact details and date of birth;
  • details of our products and services you use and payments you have made;
  • correspondence with you;
  • information about your horse and your riding; and
  • information about your employment and homeownership.

We also maintain a record of any health and safety incidents that occur on our premises.

If you enter an event we are hosting, and give your consent to receive marketing, we may contact you with information about similar events you may be interested in. You can withdraw your consent for this at any time, by clicking “unsubscribe” on our emails or contacting us directly.

We share your information with:

  • suppliers (for example farriers and vets);
  • partners such as riding instructors where you visit for instruction or for a camp;
  • with people you have explicitly authorised us to;
  • the public by displaying the results of competitions you enter;
  • our payment provider in order to pay your prize money; and

When necessary we may also share information with other organisations including:

  • law enforcement agencies;
  • insurers and reinsurers;
  • our bank or other payment providers, and;
  • the courts or debt collectors.

We use CCTV and may store images and audio we record for our own purposes, including the management of the facility, the prevention and detection of crime, to ensure compliance with yard rules and the promotion of Pickering Grange Farm. We keep CCTV footage on our systems for up to 30 days. Where accidents, incidents, criminal activities or breaches of our policies are being investigated CCTV footage may be kept for a longer period of time.

We keep your information for as long as we need to in order to manage our relationship with you, and run our business. We aim to keep financial rand related records for seven years or longer as required by law. Most of the information we hold comes from the individual concerned (either directly or via a third party booking system) or from a third party the individual is affiliated with (such as the British Show Jumping Association or an event organiser). Sometimes we gather information from other public sources, and the courts, to assist with debt collection

You have the right to ask us to correct information that is inaccurate or incomplete or both. In certain circumstances you have the right to

  • restrict us from processing your information anymore;
  • object to the way we process information, and;
  • have your information erased.
